Annual Meeting Exhibitor Information

The AAR Annual Meeting Exhibit Hall places you in front of over 5,000 professors and students, authors and publishers, religious leaders and interested laypersons at a one of its kind gathering of religion scholars.  AAR anticipates some 5,500 attendees at the 2010 meeting in Atlanta.  Annual Meeting attendees consider the Exhibit Hall one of the major “must-see” areas of the Annual Meeting – 92% of attendees report visiting the hall during the meeting and two-thirds report making a purchase based on the 2009 post-Annual Meeting survey.  In the Exhibit Hall you can

  • Present your products and services to the people who influence buying decisions in college and university classrooms across the world;
  • Discuss your message face-to-face with scholars of religion;
  • Meet with potential and current book authors;
  • Contact a membership interested in world travel, professional development, and special interest groups;
  • And much more!

Booth Assignment

Booths assignments are finalized on May 1. Contracts received by May 1 are placed in point order. Points are calculated by the number of years a company has exhibited, number of booths, and advertising purchased in the past 5 years. The AAR reserves the right to determine which exhibits are consonant with the nature of the meeting.

Fees and Payment Schedule

A 50% deposit per booth must be enclosed with the contract to guarantee the booth reservation. The balance of the rental fee is due within 30 days of assignment. The price of each 8′ x 10′ booth depends upon your placement in the Exhibit Hall.

Before May 1:
Regular: $1,450/booth
Premium: $2,000/booth

After May 1:
Regular: $1,700/booth
Premium: $2,300/booth

For corner booths thoughout the hall, add $150 to the prices listed above.
Payment is due in full with exhibit contract for booths assigned after May 1. See Terms and Provisions for cancellation details.

Complete and return contract with payment to Aislinn Jones, Director of Marketing, at the address listed below.  Make checks payable to “American Academy of Religion” or send credit card information with your contract. There will be a $30 fee assessed for all returned checks. All payments must be in U.S. funds drawn on a U.S. bank. Federal I.D. # 20-5478525.

Privileges

Exhibitors accepted by May 1 are listed in the Annual Meeting Program Book Planner. All exhibitors accepted by October 1 will be listed in the Annual Meeting Program Book, which is distributed onsite. Each exhibitor receives a confirmation kit which includes booth assignment, hotel information, and preregistration forms. Two complimentary preregistrations are allotted per booth, one Program Planner per booth, and one blocked hotel room per booth. Additional hotel rooms may be reserved for those registered in the general housing process. Official Drayage Company

Champion Exposition Services will provide order in formation for exhibit booth requirements. The exhibit hall is not carpeted. Exhibitors are required to order carpeting for their booth. Questions about furniture rental, decoration, and services should be directed to Champion Exposition Services. Information will be included in the exhibitor kit mailed in August.

Two free registrations per booth allotted by contract. Additional registrations are available at the discounted member rate. All exhibitors who request booth space by May 1 will be blocked one room per booth at a headquarters hotel.
